The University of Richmond (“University,” “we,” “us,” or “our”) is a U.S.-based institution of higher learning offering undergraduate, graduate, and continuing education programs, curriculum content, and services in a traditional campus setting and through our central websites (each a “Site”) Richmond.edu, applications, and third-party tools (collectively, the “Services”).

The University of Richmond is strongly committed to maintaining the privacy and security of individuals’ data and information. This Website Privacy Statement describes the type of data we collect, how we use and share that data, and your choices concerning our data practices when using websites in the Richmond.edu domain.

Scope

This Privacy Statement covers all Richmond.edu website browsing data unless otherwise indicated. Supplemental privacy notices may further govern the privacy and data practices of our sites and services, and you should read any supplemental privacy notices and policies  available on the websites and services of the specific department, unit, or function you interact with for more information on their practices.

What information do we collect?

When you access or use the Sites, we may collect and process the following types of information from you:

Personal data

Personal data (“Personal Data”) means any information about you from which you can be identified. We collect Personal Data that you voluntarily give us when you visit our Sites or use our Services.

This data includes:

  • Contact information including address, city, state, postal code, country of residence, email address, home, cellular and other contact telephone number(s)
  • Records of communications between you and the University
  • Other information pertinent to your specific interests and activities at the University
  • We also collect information you choose to provide to us when you complete any “free text” boxes in our forms (for example, support requests, blogs, or forums).

Usage data

When you browse our Sites, the following information is created and automatically logged into our systems:

  • Log data: Information (“log data”) your browser automatically sends whenever you visit the Site. Log data includes your Internet Protocol (“IP”) address browser type and settings, the date and time of your request, and how you interacted with the Services. We may archive this information in an anonymous form for historical records.
  • Cookies: Our Site uses cookies and other technologies to make it easier for you to use the Services during future visits, to monitor traffic on our Site, and to personalize informational, educational, and other content.   • Usage information: Types of content that you view or engage with, the features you use, the actions you take, the other users you interact with, and the time, frequency, and duration of your activities.

Social networking data

University websites may use pixels and web beacons provided by social media networks to collect information about you when you visit the website. We use this information for legitimate purposes in support of the school and its mission. Examples of information collected include time on the page, browser type, operating system, device type, IP address, and what pages you viewed. We may use this information to improve your website experience and show you editorial content when you visit those social media sites.

How do we share and disclose your information?

Except as this Privacy Statement describes, we do not sell, trade, or otherwise share your data with outside (third) parties.

Sharing and disclosure outside the University

We may share your Data in the following circumstances:

  • Vendors and service providers: To assist us in meeting business operations needs and to perform certain services and functions, data may be shared with third-party providers of hosting, email communication and support services, analytics, marketing, advertising administrative and technical services (including Amazon Web Services and Google in the United States, both certified to the Privacy Shield). They are contractually prohibited from using or sharing your Personal Data for any purpose other than providing their services to us.
  • Legal requirements: If required to do so by law pursuant to valid legal process, applicable regulation, or in the good faith belief that such action is necessary to (i) comply with a legal obligation, (ii) protect and defend our rights or property, and/or those of you or others, (iii) act in urgent circumstances to protect the personal safety of you or others, or the public, or (iv) protect us against legal liability.

Sharing and disclosure within the University

Your Data may be shared with other departments and business units at the University for the purposes described in this Privacy Statement, notably for delivery, personalization, and improvement of services and other departments and business units.

Information and Data Security

We take reasonable administrative and technical steps to protect your Web Data from loss, misuse, unauthorized access, disclosure, alteration, or destruction. Where feasible, systems that solicit or display personally identifiable information are protected by authentication and authorization controls and generally secured. However, no method of transmission over the Internet is 100% secure. Therefore, we will strive to protect your data but cannot guarantee its absolute security.

European Union (EU) Individuals

Our websites may contain links to other websites not operated or controlled by us (“Third-Party Sites”), including social media websites and services. We are not responsible for such sites' privacy policies or data practices. Providing these links does not imply that we endorse or have reviewed these sites. Please read the privacy policies of these sites before you visit them to understand their privacy practices and policies.

Do-Not-Track

Do-Not-Track is a public-private initiative that has developed a “flag” or signal that an internet user may activate in the user’s browser software to notify websites that the user does not wish to be “tracked” by third parties as defined by the initiative. The online community has not agreed on what actions, if any, should be taken by the websites that receive the “do not track” signal, and therefore Do-Not-Track is not yet standardized. Our website does not alter its behavior or services when it receives a “do-not-track” flag or signal from your browser.

Your choice

There is no legal requirement for you to provide any information on our website; however, some features or services may only be made available by collecting some data.

Children

The University of Richmond does not knowingly solicit or collect Personal Data from users under the age of 13. If you believe we have inadvertently collected information about a child under 13 through this Site, please contact us at (XXX) XXX-XXXX, and we will endeavor to delete the data.

Retention

We will keep your Browsing Data according to our retention schedules for as long as reasonably necessary for the purposes described in this Privacy Statement and while we have a legitimate business need to do so.
