Forms and Deadlines Checklist for Spring Transfer Students

This checklist of forms and deadlines is intended for transfer students who have paid the deposit and received acknowledgement from the University. The spring 2019 checklist will be fully updated by December 1, 2018. 

We're very excited to welcome you to the University of Richmond for the spring semester beginning January 14, 2019! The list below provides all the dates, deadlines and steps involved in getting ready to start your college career at Richmond.

Forms to Complete After you Deposit and Receive your Student ID Number

Required: Activate Your Richmond Account
Activating your Richmond account is essential and takes just a few minutes, so this is the place to start. Check your admission packet for your student ID number. **Note that you MUST have paid your enrollment deposit and received an acknowledgement from the university to activate a Richmond account.**

Required: Health History Record (due January 1) *IMPORTANT DEADLINE!*
In compliance with state law of Virginia, all full-time students are required to provide documentation relative to their health and immunizations.
Please complete the Immunization History, TB Risk Assessment, and Medical History forms using the steps provided below:

Step One: Print the Immunization History document for your physician/health care provider to complete and sign.
Step Two: Log onto your Student Health web portal using your eight-digit URID and password.

  1. Enter the immunization dates provided by your physician/healthcare provider
  2. Upload completed form using the “Document Upload” tab
  3. Complete the TB Risk Assessment Form and Medical History Form found in the “Forms” tab

Required (for on-campus housing): Complete Your Housing Application
The housing application is required for students requesting on-campus housing; however, on-campus housing is not guaranteed. To access the application, sign on to Bannerweb, click on Student Services, HousingMenu, Connect to StarRez. Follow the instructions on each page within StarRez. If you have questions, please email Ms. Carolyn Bigler. More details about housing, including a suggested list of what to bring to campus, are available on the Student Housing websiteNote for Resident Students: Set Your PIN for Keyless Entry into Residence Halls before you arrive on campus.  Follow the instructions on the One Card website.

Course Evaluations, Advising and Registration:
Please review the instructions in your acceptance letter regarding transfer work and course evaluations. If you have questions, please contact Mr. Dwayne Smith. For information and assistance with advising and registration, please review the letter in your deposit packet or contact Anna Young in the Academic Advising Resource Center. Required: Information For Academic Advisor Form
This form is available in BannerWeb, at the bottom of the Student Services menu. This important form is used to match advisees with academic advisors. You will be assigned an academic advisor who you will work with until major declaration and should meet with them during the first two weeks of the semester.

ID Card Photo
Upload your image for use on your advisor form and ID. Students can submit their photos online or have their pictures taken in person by visiting the One Card Office. (Please allow at least 24 business hours for processing if submitting your photo online.)

From January 3-12

Required: Transfer Student Registration Begins Thursday, January 3, 2019
Students who are transferring to Richmond from another college or university begin registration Thursday, January 3 at 9 a.m. Please read the information below for registration instructions. For assistance with advising and course selection, please contact Anna Young in the Academic Advising Resource Center. Registration will remain open through the add/drop period, closing on Monday, January 28 at 5 p.m.

By January 4 at 4:30 p.m.: Make Changes to Meal Plan
New students assigned to a residence hall will be automatically assigned the Spider Unlimited plan, but may upgrade to the Spider Plus Unlimited. Students assigned to the University Forest Apartments or Gateway Village are not required to have a meal plan, but may purchase the Spider Unlimited, Spider Plus Unlimited, or Spider 40. Students living off campus are not required to have a meal plan, but may purchase any of the plans listed above or the Spider Blue commuter plan. Changes can be made by contacting the One Card Office through email or by phone (804) 289-8010 or (804) 289-8478.

From January 12-13

January 12: Move-In Day 10:00 am - 2:00 p.m., Whitehurst 
Check-in will take place in Whitehurst living room.  If you arrive after 2:00 p.m. you will be able to pick up your ID at the University Police Station located in the Special Programs Building.  Review the housing guidelines for what you may and may not bring to campus. Early arrival will not be permitted.

January 13: Visit One Card Office 10:00 a.m.-4:00 p.m. in the Heilman Center next to Campus Post Office (Building 34 on campus map)
Your Richmond ID card provides access to the Library, your residence hall, and meal plan. Your Richmond ID may also be used as a debit card for on-campus purchases.

  • Incoming transfer students are required to stop by the One Card Office with a valid state-issued driver’s license, a passport, a military ID or an official state identification card to have your University of Richmond ID card validated. 
  • Students who received a temporary card will have their photo taken for their permanent card. Please bring an official form of ID as mentioned above as well as the temporary ID card you were issued.  

January 13: Transfer Student Orientation 9:00 a.m.-3:15 p.m., Richmond Room (Gottwald Conference Room D100)
You will receive a letter from the Richmond or Westhampton College Dean's Office with more details about orientation.

On January 14

January 14: Classes Begin

Required: by January 14, at 5:00 p.m.:
Tuition due for spring semester transfer students

By February 1

Required: by February 1: Alcohol Edu Requirement
All full-time degree seeking students are required to complete a comprehensive alcohol education and abuse prevention program during their first semester on campus. Students will receive access to the online courses via email in early January, and the first part of the online component must be completed by February 1. In order to successfully fulfill the requirement, students must complete both Alcohol Edu (Part 1 & 2) and Sexual Assualt Prevention for Undergraduates (Part 1 & Part 2) online as well as the in-person Alcohol Education and Prevention Workshop (WELL 085). Students should register for the Alcohol Education & Prevention Workshop (WELL 085) when they register for their spring classes.

Check Your University of Richmond Email (Google Apps)

Make sure to check your Google Apps account frequently. Many offices on campus will use Google Apps as their primary way to contact new students.
